India By Cycle is a brand of Gyan Yatra Wisdom Travel Private Limited, the Indian company offering and contracting for cycling holidays and related travel services under this brand. In these Terms, “India By Cycle”, “we”, “us” and “our” refer to that operator acting through the India By Cycle brand.

These Terms apply to tours booked directly through India By Cycle, unless specific written terms supplied for an individual booking provide otherwise. A tour description, itinerary, quotation, invoice or booking confirmation may contain additional terms and details for that journey. Where a booking is sold by an overseas travel agent or another organiser, the applicable contracting arrangements and any additional terms will be identified before confirmation.

Nothing in these Terms excludes or restricts consumer, travel or other rights that cannot lawfully be waived.

Our website and itineraries describe the intended route, approximate cycling distances, terrain, accommodation style, activities, inclusions, exclusions and difficulty level. Distances, elevations, timings and examples are indicative unless expressly confirmed as guaranteed.

Before requesting a tour, travellers should consider their cycling experience, fitness, mobility, health needs and expected environmental conditions. Please contact us for guidance if you are uncertain whether an itinerary is suitable for you.

Submitting a booking request or enquiry does not create a confirmed reservation or guarantee a place. Our office will check availability, requested room arrangements and other tour details, and then send an invoice with payment instructions.

A booking remains provisional until the required payment has reached our designated bank account, we have accepted the booking, and we have communicated confirmation to the traveller. For bookings made more than 60 days before departure, the required booking deposit is 50% of the total quoted tour price. For bookings made 60 days or fewer before departure, full payment is required at booking, as described in Section 5. An automated form acknowledgement is not a booking confirmation.

The person making the booking must provide accurate names, contact details and preferences for all travellers and must be authorised to submit booking information on their behalf.

The quotation or invoice issued by our team specifies the tour price, currency, included services, applicable supplements, method of payment and payment deadlines. Unless expressly included, international flights, visas, personal expenses, optional activities and independently purchased travel insurance are excluded.

Payment must be made by the method stated on the invoice. All bank transfer fees, intermediary-bank charges, foreign-exchange conversion fees and international transaction charges are the responsibility of the traveller. Please verify payment instructions through our official contact channels before transferring funds, particularly if bank details appear to have changed.

Discounts, special inclusions and itinerary amendments are binding only when confirmed by India By Cycle in writing, subject to applicable law.

For bookings made more than 60 calendar days before departure, a deposit equal to 50% of the total quoted tour price is required to confirm the booking. The remaining 50% must be received at least 60 calendar days before the scheduled departure date, in accordance with the invoice.

For bookings made 60 calendar days or fewer before departure, 100% of the tour price must be paid at the time of booking to secure confirmation.

If a balance payment is late, our team will contact the traveller to explain the position before applying a cancellation measure. If an outstanding balance remains unpaid 30 calendar days before departure, the booking will be cancelled, and the deposit and any other amounts already paid will not be refunded, except where mandatory applicable law provides otherwise.

To cancel a booking, please email connect@indiabycycle.com, include your booking reference and identify all affected travellers. We will acknowledge the request and confirm the refund calculation in writing. The date of cancellation is determined using Indian Standard Time (IST, UTC+05:30).

The following cancellation schedule reflects the date on which we receive the written cancellation request. The percentages apply to the total quoted tour price, excluding taxes and international transaction charges, rather than solely to the deposit or instalments paid. Any refunds or deductions remain subject to applicable non-waivable legal rights.

Requests to change traveller names, departure dates, rooms or other arrangements must be made in writing. Changes depend on availability and any reasonable, lawful costs incurred in modifying booked services. Any statutory right to transfer a package booking to another person will be respected.

If a traveller arrives late, chooses not to participate in an activity, leaves a tour early or misses a portion of the trip, any refund will depend on the circumstances, recoverable savings and applicable law. Mandatory rights relating to unused services remain unaffected.

Cycling holidays may be affected by weather, road conditions, flooding, political events, public-health measures, transport disruptions and the availability of safe accommodation and routes. We may make reasonable changes to routes, timings, activity sequences or accommodation where necessary for safety or operational reasons. Material changes will be communicated as soon as reasonably practicable.

The minimum group size is two travellers for a private tour and five travellers for a regular fixed-departure tour. If a tour cannot operate as planned, including where a minimum group size is not met, we will inform affected travellers of the available options and any applicable alternative arrangements, refunds or other legal remedies.

If India By Cycle cancels a tour or makes a significant change, any rights to refunds or alternative arrangements will be determined by the booking terms and mandatory applicable law. We will not apply a blanket cancellation fee where the law requires a full refund or another remedy.

Inclusions vary by tour. The specific itinerary or quotation states whether bicycles, helmets, support vehicles, airport transfers, baggage transport, mechanical support, guides and entrance fees are included. A service should not be assumed to be included unless it is identified in writing.

Travellers must treat supplied equipment with reasonable care, follow safety briefings and promptly notify the tour team of defects, losses or incidents. Where relevant, arrangements concerning damage, bicycle security deposits or use of guests’ own bicycles will be provided with the booking information.

Cycling in India may involve variable road surfaces, traffic, weather, animals and physical exertion. Travellers are expected to be suitably prepared for the chosen route, follow lawful safety instructions from their guides, use appropriate safety equipment and respect local rules and communities.

Please share relevant accessibility needs, dietary requirements and health information required for safe tour delivery through the designated private channel. We aim to collect only what is reasonably necessary and to handle health-related information carefully.

Where a traveller may not be able to participate safely in a particular activity, we may discuss suitable adjustments or alternatives. Any decision affecting participation will be reasonable, consistent with applicable law and non-discriminatory where required.

The company operating India By Cycle maintains limited general business and tour-operations liability insurance. This is not personal travel, accident, health, evacuation, repatriation or cancellation cover for individual travellers, and it should not be relied upon to meet a guest’s medical or emergency expenses.

We strongly recommend that travellers arrange suitable travel and medical insurance before departure, with adequate cover for cycling activities, emergency medical treatment, hospitalisation, rescue or evacuation, repatriation, trip interruption and cancellation. Travellers should check limits, exclusions, pre-existing condition requirements and the insurer’s policy terms.

In an emergency, our tour team will seek reasonable practical assistance in the circumstances. Third-party medical, rescue, evacuation, transport and treatment costs may remain payable by the traveller or their insurer, subject to applicable legal duties and responsibilities. No provision in these Terms removes liability that cannot lawfully be excluded.

Unless expressly included in the confirmed itinerary, travellers are responsible for obtaining valid passports, visas, permits, health documents and any other entry requirements that apply to them. Guidance provided by our team is general and should be checked with the relevant authorities.

Accommodation is provided in accordance with the confirmed room type and itinerary. Requests for a single room, particular roommate, bed configuration, dietary arrangement or accessibility support are subject to written confirmation and may involve an additional charge.

Where necessary, we may substitute an accommodation property with a reasonably comparable alternative. We will provide appropriate notice and respect any remedies due for a material reduction in contracted services under applicable law.

Tours may involve independently operated hotels, restaurants, transport services, local guides and other travel suppliers. We work with these suppliers to deliver the services described in the confirmed booking.

Our contractual and legal responsibilities for tour performance, assistance, refunds and remedies are governed by the applicable agreement and mandatory law. No reference to an independent supplier is intended to remove rights that travellers may have against the responsible organiser.

If any element of your trip is not as expected, please inform the tour leader or designated on-trip contact promptly so the team can attempt to assist. Formal complaints or privacy concerns can be sent to connect@indiabycycle.com. For time-sensitive matters, travellers may also use the telephone or WhatsApp contact details shown on our website.

We will acknowledge a complaint through the same communication channel used by the traveller and seek a fair resolution. Any legally prescribed response period or dispute-resolution procedure will take precedence.

We may take photographs or document our tours for operational purposes. Promotional use of a recognisable traveller’s image will require appropriate separate permission or another valid legal basis. Booking a tour does not automatically constitute consent to promotional use of a guest’s likeness.

India By Cycle itinerary descriptions, route notes, photographs and other provided materials may be protected by intellectual property rights. Guests may use materials supplied to them for personal trip preparation, but commercial reproduction requires prior permission.

These Terms are intended to be governed by the laws of India, subject to any mandatory consumer, package-travel, safety, privacy or dispute-resolution protections that apply to a specific booking, including protections that cannot be contracted out of.

If any provision is held unenforceable, the remaining provisions will continue to apply to the extent permitted by law. Nothing in these Terms affects any non-excludable statutory rights.
